This involves several thousand orders a day for the production of custom-made products, which are received via fax or scan by email for processing. Prior to the introduction of elevait in:docs, the associated information was manually transferred to the ERP system due to high personnel costs.

Challenges

Due to the massive increase in incoming orders, digital solutions were sought in 2018 to automate existing business processes, particularly in the area of customer service. The client's fundamental challenge lies in the significant proportion of customer orders that are transmitted via e-mail or fax. An additional challenge is that most information is only available by hand. Another important component for the customer was the connection to the existing and in use ERP system.

At the same time, the steadily increasing number of orders entailed increasing manual effort in processing. In addition, further scaling was limited due to the time-consuming and professionally complex training of medical device consultants.

Solution

The orders include customer numbers, color requests and certain dimensional values, which were filled out with handwriting or typewritten as well as checkboxes.

This information is automatically read out by elevait in:docs, interpreted and then transferred to the ERP after an independent validation with the previously defined parameters.

Employees only carry out checks and occasional corrections. Manual input and human input are no longer necessary for the vast majority of processes.

The order is then sent directly to production.

Result

Automating document workflows significantly improves customer service efficiency. Without staff expansions, significantly more order volumes can be processed and future growth can also be ensured. On average, elevait reduces the manual, repetitive processing of individual work steps by up to 80%, with the associated cost savings compared to manual processing. An installed, turnkey and cloud-native solution is provided for the work processes in the ERP system. This also minimizes maintenance and IT costs on the part of the customer.

Further objectives

An overarching goal was the introduction of comprehensive knowledge management. On the initial situation: Many employees acquired concentrated expertise within their company, which was essential for numerous value-added processes. Specific information was therefore often not transparently available to all stakeholders and prevented the standardized transfer of knowledge, specifically in customer service for custom orders. As a result of the collaboration, the complete presentation of knowledge in the form of different knowledge rules was made possible: With the elevait suite, the responsible employees of the ERP team can independently display specific information and make it transparently comprehensible in their area of activity. The basis for this is the use of so-called symbolic AI.

Vision

The integration of elevait in:docs for form processing and for processing other business documents provides a very good starting point for expanding comprehensive process automation modularly for further value-added processes.

In order to optimize data-centered work with the available information, it is a good idea to integrate other business areas in order to exploit the full potential in the future.

In addition to the already integrated international mandates, expansion based on internationalization is possible.
